Automating a manual reporting process

Prior to RedView, Pizzeys reporting lacked customised information. John and the Principals couldn’t access information readily and it wasn’t up-to-date. Data had to be exported to MS-Excel, and into separate spreadsheets.

The business wanted to be able to track budget and performance month-on-month, annually, and eliminate printing reports.

RPC is a busy regional practice whose clients range from individuals, small to medium businesses and large corporations. RPC wanted to provide a high level of customer service and drive engagement.

The volume of matters each month meant that managing customer queries and providing matter related updates was consuming a lot time. Clients and agents would call the firm to get status updates, query matters and ask for documents and this took up a lot of administration time and effort.

Capturing more time from on the road

Before using RedView, Andrew Grima, Principal, had to scribble time on a paper when he was out of the office. He would then have to remember to manually fill in his time or have his secretary decipher his notes.

Andrew would have to login remotely the firm’s network but sometimes face server-related issues or connection dropouts. If he was out and about, he couldn’t quickly access client or matter information on-the-go.

Bannerman Solicitors, a boutique family law firm, specialise in everything from custody disputes to property settlement matters.

 

Accessing information on the go

Bannerman Solicitors needed a mobility solution that allowed them to access key dates, documents and updates on his phone while at court or out of the office.

Before using RedView, Richard would not always have access to the latest updates or information on a file. While he was at court, he couldn’t quickly pull up information in front of him if the files were not in front of him.

Often, he would be uncomfortable when asked about a date or document in court if he didn’t have the information handy.

Before RedView, Bannerman Solicitors relied on a VPN connection to access files on their server; often a slow and cumbersome process when they needed access to information quickly. Richard says, “RedView lets me work remotely and access my files on the go on my mobile.”

Capturing more billable time

Launched in 2007, Lawyers on Demand (LOD) pioneered New Law and is the original alternative legal service provider. With a growing team exceeding 600 lawyers worldwide the business needed a time recording platform to handle their global practice.

The firm operates multiple offices in Australia, Singapore, Hong Kong, the UAE and Europe. Each legal entity operates its own independent billing system, in the currency required for the client.

The LOD lawyer however can work on a matter for any entity and the firm wanted to make the process as simple as possible for their people.

RedView’s system consolidation technology makes this easy for all parties.

The RedView platform consolidates the information from all offices system into one central, cloud-based system. RedView Time is then used to enter time details and the lawyer picks the matter applicable, not having to worry about which legal entity is involved.

The app itself then adapts to the requirements of the entity, ensuring that time captured complies with the requirements of the legal entity. The platform then directs and posts the timesheet to the correct system for billing.

Prior to RedView, LOD’s lawyers captured time by completing an Excel spreadsheet at the end of a work week or sent an email with their time worked to an administrator, who then manually entered the time into correct system. Because the processes were cumbersome, lawyers had to be continually chased and the manual effort involved in interpreting and entering information was considerable.

The introduction of RedView has meant that effort in chasing lawyers and the manual entry task has disappeared, a big cost saving for the firm. On top of this, time is now being captured every day and, as a result, billing occurs more quickly.

The other key aspect of the solution has been the usability of the mobile solution. The lawyer works on site and needs a tool that is intuitive and can be used with minimal training. Today, most lawyers complete their time daily. One lawyer’s comment: “this is so simple, what’s the catch?”.
